1. Who we are

Automyxor Ltd ("Automyxor", "we", "us") runs automyxor.com. We are registered in England and Wales, company number 16513734. Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We are registered with the Information Commissioner's Office, registration number ZC086015. For anything about your personal data, email [email protected].

2. What this policy covers

This policy covers people who visit this website, contact us, or are approached by us as possible clients. When we work for a client and handle their customers' or patients' data, the client decides how that data is used and we act only on their instructions under a data processing agreement. See our Data Processing Agreement page.

3. What we collect

  • Contact details: your name, email address and phone number, if you give them.
  • Business details: your business name, website or Google listing, and what you tell us about your business.
  • Messages: what you send through the contact form, by email, through a lead form on Facebook, Instagram or LinkedIn, or in a message to us on WhatsApp, Messenger or Instagram.
  • Public business information: when we prepare an audit or plan for a business, we look at public information such as its Google listing, website, reviews, adverts and Companies House record. This can include the names of owners and directors.
  • Website data: IP address, browser and device details in server logs and, only if you accept analytics cookies, how you use the site. See our Cookie Policy.

4. How we use it, and the law we rely on

  • To reply to your enquiry and prepare a free audit you asked for: steps you asked us to take before a contract, and our legitimate interest in answering business enquiries.
  • To contact businesses we think we can help, by email to business addresses, with a way to opt out in every message: our legitimate interest in finding clients. We follow the electronic marketing rules (PECR) and keep a do-not-contact list.
  • To deliver and invoice work for clients: our contract with them, and our legal duty to keep financial records.
  • To keep the website working and secure: our legitimate interest.
  • To measure how the website is used: your consent, given through the cookie banner. You can change your mind at any time through Cookie settings at the bottom of every page.

5. AI tools

We use Claude, an AI assistant made by Anthropic, to help research and draft our own work, such as audits, plans and emails. This can include the business and contact details covered by this policy. The setting that allows Anthropic to use our conversations to train its models is switched off. We do not put our clients' customer or patient data into AI tools unless the client has agreed to it in writing.

6. Who we share it with

  • Google: email and file storage, and Google Analytics if you accept analytics cookies.
  • Calendly: if you book a call with us, it holds the details you enter for the booking.
  • Anthropic: Claude, as described above.
  • Our website host, and Cloudflare, which protects and delivers the website.
  • Meta or LinkedIn, if you contact us through one of their lead forms or message us on WhatsApp, Messenger or Instagram. They act under their own privacy policies.
  • Professional advisers, such as our accountant or solicitor, when needed.
  • Regulators, courts or the police, when the law requires it.

We do not sell personal data.

7. Transfers outside the UK

Some of these providers store or access data outside the UK, for example in the European Economic Area or the United States. Where they do, we rely on UK adequacy regulations or on the contract terms approved for transfers from the UK.

8. How long we keep it

  • Enquiries and audit material that do not lead to work: up to 24 months after our last contact.
  • Our do-not-contact list: for as long as we contact businesses, so that we keep respecting your request.
  • Client contracts and invoices: 6 years after the end of the financial year they relate to.
  • Analytics data: no longer than 14 months, set in our Google Analytics account.
  • Server logs: kept by our host for a short period for security.

9. Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to how we use it (including any marketing, which we will stop straight away), restrict its use, or ask for it to be moved. Where we rely on your consent, you can withdraw it at any time. Email [email protected]. We reply within one month.

If you are unhappy with how we have handled your data, please tell us first. We will acknowledge your complaint within 30 days and tell you what we are doing about it. You can also complain to the Information Commissioner's Office at ico.org.uk.

10. Children

This website is for businesses and is not aimed at anyone under 18.
